                                        WHAT IS A PASS

This is a document issued to person(s) given specific  employment by specific employer for a short duration not exceeding three (3) month  or for purpose of receiving education or training at an educational or training institution  within the country by which he/she has been accepted as a student/pupil. A special pass is issued under the Kenyan Citizenship and Immigration Act (Legal Notice no. 64).

An immigration special Pass is issued to Foreign Nationals or Foreign Business representatives wishing to work, conduct Business, consult, volunteer or generally to carry on business activities in the country for a short period of time

This document is issued under regulation 34 of the Kenya Citizenship and Immigration Regulations, 2012 to person(s) who wishes to enter Kenya or remain in Kenya for:-A limited period for the purpose of applying a review of a decision denying a permit, Applying for a permit or pass, temporarily conducting any business, trade or profession

                             REQUIREMENTS TO GET A PASS IN KENYA

Duly filled and signed Form 32 – Special Pass online application form (Stamped by Institution). You will print out the form at the end of the application for a special pass.

Detailed and Signed Cover letter addressed to the Director of Immigration Services from the applicant/organization

Two (2) recent passport size color photos

Copy of passport (the bio-data page)

Current Immigration status if in the country

Copy of Registration Certificate for the organization

Certified copies of academic and professional certificates

Documents in foreign languages should be translated into English by the Embassy, Public Notary, or authorized /recognized institution

Copy of any permit or passes held.

Copy of any official receipt or acknowledgement for those waiting for permits processing

Clearance letter from the relevant authorities

The application and the payments are all done on the efns Portal. An invoice is generated and you will be required to pay online. No cash is accepted at the Immigration. This is a Kenyan government immigration portal.

                            TYPES OF PASS IN KENYA

1. STUDENT PASS               

This document issued to person(s) seeking to enter and remain in the country for the purpose of receiving education or training at an educational or training establishment within the country by which he/she has been accepted as a student/pupil.


                        STUDENT PASS REQUIREMENTS


1. Application form (form 8) dully filled signed and stamped
2.Cover/forwarding letter from school stating the course and course duration
3.Copy of the passport bio-data pages visa page
4.Two passport size photos
5.Commitment letter from parent/legal guardian/sponsor
6.6. The institution applying must be registered as an educational establishment. If the institution is relatively new a copy of registration must be submitted together with the application.

                                        2. DEPENDANT PASS

This is a type of a pass given to dependent of foreigners residing or visiting Kenya for a particular purpose

Who qualifies as a dependant?

Children, spouses and persons being maintained by a person who has secured a work permit qualify as dependants. In practice, this normally applies to married spouses and their children. It is important to have a document that legally establishes the dependency, such as a marriage or birth certificate, etc. The children must be under 21 years old to qualify.Conditions and restrictions

Are dependants automatically allowed to work or attend school?

Dependents are not automatically allowed to work. Where the dependent engages in employment or other income-generating activity, the dependent pass is deemed to have expired. Dependents must lodge an application for a class D work permit, which must be approved by the Department of Immigration for them to start working. The application is determined on merit. Children attending school are required to acquire a student’s pass. It is the responsibility of the school to ensure that the child has a student’s pass before admission.

REQUIREMENTS FOR DEPENDANT PASS

The applicant must be Kenyan Holder of valid entry permit Exempted person under Immunities Act (Cap. 179) and who are covered under section 4(3) (a) to (g) .

Copy of birth certificate or marriage certificate for immediate family members or if the institution is relatively new a copy of registration must be submitted together with the application.

HOW DO I GET A SPECIAL PASS IN KENYA

Pass application in Kenya is done online trough the government portal of immigration department

The first step is to register with the Kenya electronic Foreign Nationals Services (eFNS) portal through the following link eFNS Online Platform.

Click on create account then click on the Create an Account to register.

You will need to fill in your personal information so to register for an eFNS account For Kenyan citizens; you will need your national ID number while foreigners residing in Kenya will need your foreigner certificate. If you do not have national ID or foreigner certificate, select other and use passport details to register.

Once you have registered you will then need to login to your eFNS account and under the Submit application tab click on Submit new applications.

This will direct you to the next page where you should make your next selection. Under the Permit and Passes Services Section, click on the Apply Now link in the Special Pass Tab

This will direct you to next page; here you should read the instructions carefully; make sure you have all the requirements to make the application and then click on the Apply Now button which will direct you to the online application form.

Fill in the online application form with all the required details and upload supporting documents. These details include:-

(a) Start by selecting pass type you wish to apply for (special pass/ prohibited immigrant’s or an inadmissible person’s pass)

(b) Full names

(c) Nationality

(d) Date and place of birth

(e) Gender

(f) Passport (number, date of issue, expiry date)

(g) Job title and job description.

(h) Employers (name, Postal and physical address, phone number)

(i) Kenyan Contacts (phone number, postal address, physical location)

(j) Application type (new application / renewal)

(k) Profession

(l) Date of arrival in Kenya

(m) Period of time required

(n) Upload passport photo.

Then click on save.

This will direct you to the next page where you are required to print your special pass application.

You shall receive automatic notifications via email and on your online account about the progress of your application

After your application is approved, an invoice will be generated which you can see by clicking on “Dashboard” then “Payments” Tab. If you have already logged in eFNS, you can click here to make a payment.

If unable to pay using any of the online modes, print your invoice by clicking on “Dashboard” then “Payments” Tab (If you have already logged in eFNS, you can click here to print your invoice). Present your invoice and Banker’s cheque at the Immigration Office Counters and pay for the pass at the port of entry.

Make sure you present all the required documents to the immigration offices.

Once you have made the payment of Ksh, 15000, the special pass application from will be stamped and you will be able to use it to enter into Kenya.

Once you are in Kenya approach the organization/ institution that you have business/ affiliation with to have the special pass endorsed (stamped)

                    HOW MUCH IS A SPECIAL PASS IN KENYA

The Cost is Kshs. 15,000 per month. In total, you will pay Kshs. 45, 000. The Special Pass is valid for three months and renewable only once for a further three months. The money is paid online through online money payment platform.
